seeks a School Coordinator (SC)

Remote position – applicants located in North America or within 4 to 5 hours of Eastern Standard Time preferred


Position Purpose and Scope

As a key member of the School Relations Team, the School Coordinator (SC) plays a critical role in supporting both prospective and current member schools while ensuring the smooth operation of school-related policies, procedures, and systems. Reporting to the Director of Consulting and Global Partnerships (DCGP), the SC serves as the first point of contact for school inquiries, providing expert guidance to international schools and internal team members.

This role requires a balance of strategic administration, technical expertise, diplomacy, and excellent interpersonal skills. The SC must be highly organized and detail-oriented, capable of managing multiple responsibilities while maintaining a high level of professionalism and responsiveness. Additionally, the SC must demonstrate cultural competency, a strong commitment to diversity, equity, and inclusion (DEI), and the ability to support schools in fostering equitable and inclusive hiring practices.

As technology plays an increasingly central role in international recruitment, the SC must possess strong technical proficiency and adaptability, including a willingness to learn and leverage emerging technologies such as AI-driven tools to enhance efficiency and improve service delivery.

While this is a remote, work from home position, applicants located in North America are preferred due to the working hours of our executive team. We will also consider candidates living in regions with a time difference of no more than 4 to 5 hours from Eastern Standard Time. Regular collaboration and availability during standard North American business hours are essential for success in this role.


Key Responsibilities

School Membership Oversight and Support

  • Serve as the first point of contact for all member and non-member school inquiries, including questions, concerns, and technical issues
  • Engage with prospective and member schools to assess recruitment needs and introduce our services
  • Guide prospective schools through the application process and provide onboarding support
  • Ensure school compliance with membership policies and maintain accurate database records
  • Monitor school engagement and oversee the Supported Search service for urgent hiring needs

Technical Support and Process Improvement

  • Provide troubleshooting support for our database and recruitment platform
  • Train schools on platform features and usage
  • Develop and refine templates and documentation
  • Prepare school-related reports and suggest process improvements

School Relations and Communication

  • Maintain timely and professional communication with schools
  • Collaborate with the Executive Team to support over 750 member schools
  • Collect and act on school feedback
  • Document and address candidate complaints per policy

Marketing and Branding Initiatives

  • Collaborate with the DCGP and Marketing Coordinator to strengthen branding and outreach
  • Edit and review school-related website content
  • Represent Search Associates at international conferences and networking events, as may be needed

Specific Qualifications

  • BA or equivalent required
  • Strong team player who collaborates effectively and represents the organization professionally
  • Commitment to diversity, equity, and inclusion (DEI)
  • Cross-cultural competency and international experience preferred
  • Excellent communication, organizational, and time management skills
  • Technical proficiency with Microsoft Office, Google Drive, Canva, SharePoint, Microsoft Teams, Zoom, and other digital tools
  • Experience with CRM systems and AI-driven tools a plus
  • Strong analytical and problem-solving skills
  • Attention to detail and ability to manage multiple tasks and deadlines

Contract Status

This is a full-time position held under an independent contractor agreement. In the United States, this is classified as 1099 status. The selected candidate will be responsible for managing their own health insurance and any other mandatory contributions or payments as required by applicable law. Compensation will be competitive and based on experience, qualifications, and the skill set of the applicant, in line with similar administrative roles in the private sector.
This position will include attendance at our companywide Annual General Meeting held in Cambridge, Massachusetts, as well as participation in one to two conferences per year, as needed.
